How to keep track of visitors in your office?

Visitors are an integral part of any business. Having a fair knowledge of them will help you offer them a seamless experience in your workspace. This article explores how to track your visitors using UrSpayce in less than 5 minutes with these simple steps.

 

  • Please log in to the UrSpayce account using the link.
    It will direct you to your dashboard. From the left-hand bar, select “Visitor. If you are a first-time visitor, you must set up the Visitor Management account first. If the setup is not done, you will see the below screen. Click on 'Setup Visitor Management' to initiate the setup.

  • Please set up the 'Visitor Sign-in' flow based on your requirements. This setting can also be changed later, so you can fix a few fields here to start your visitor management activities.

Once the setting is done, go back using the back arrow key next to "My Settings." On this page, you will find the three segregated columns:

  1. The first column will give you the number of visitors seeking approval to enter your workspace.
  2. The second column will help you track the upcoming people in your workspace.
  3. The third column will let you know the number of visitors in your workspace.

 

Here is more detail about each one of them.

  • The first segment will allow you to track your visitors waiting for your approval. You can select the purpose of their visit, filter the appointment date, and/or make a customized search for your visitors waiting for entry approval.

  • The second segment will allow you to keep track of the upcoming people in your workspace. You can select the purpose of their visit and/or make a customized search for your upcoming visitors.

  • The third segment will let you know the number of visitors currently in/using your workspace.

You can select the purpose of their visit, filter the date of their appointment, and/or make a customized search for your visitors who are currently using or are in your workspace.

OR

From the ‘+Add Visitor’ section in the top-right-hand corner, you can also make new entries by adding visitors to your workspace. You can either Save or Discard the changes made.

Just so you know, Admin's views will differ significantly from the employee's. The above article is written keeping admin requirements in view. On Upgrading to the premium version, Admins will be able to access more than 50 visitors to their workspace.
